How do I invite team members and what can they do?

Invite colleagues to your brands, choose a role and permissions, and fix invitations that fail.

Written by Thomas Danninger

Short answer: Click your name at the bottom of the sidebar, choose Manage team and click Invite new user. Enter the email address, choose a role (Support Agent or View Only) and the brands, and send the invitation. Your teammate gets an email and joins after accepting it. Team access is included in Business; on Pro you add team seats.

Before you start

Plan

Team access

Free trial and Lite

Not included

Pro

No seats included. You add seats for €15 per month each (€162 per year), plus VAT.

Business

4 seats included. Each extra seat costs €15 per month, plus VAT.

  • Seats: every teammate and every pending invitation uses one seat. You, as the owner, don't use a seat. To add seats, click your name at the bottom of the sidebar, choose Billing and use One seat more.

  • New email address: you can only invite an address that has no replient.ai account yet.

  • Who can invite? The account owner. A teammate with the permission Manage team can invite too, see below.

Step 1: Open Manage team

Click your name at the bottom of the sidebar and choose Manage team. The page lists your teammates with their role, their brands and their permissions. You are listed as Account owner.

Step 2: Invite a teammate

  1. Click Invite new user.

  2. Enter the E-Mail address.

  3. Choose the role under Permission: Support Agent (write access) or View Only (read access).

  4. Select the brands under Choose brands.

  5. Send the invitation.

On Pro without seats, the button is called Add seats and takes you to the billing page. If your plan has no team access, the page tells you: Your current plan does not include team access. Upgrade to invite team members.

The invitation stays pending (Invite pending) until your teammate accepts it. It is valid for 30 days.

Step 3: Your teammate accepts

  1. Your teammate gets an email from [email protected] with a link. The email names the brands and the permissions.

  2. The link opens the invitation page. Your teammate signs up with the invited email address: choose a password and enter the verification code from the email.

  3. Someone who already is signed in with another address sees Signed in with a different email and has to sign out first.

Manage comments, Manage messages

Read and answer comments and direct messages, and use the actions in the inbox.

View Only

View comments, View messages

Read comments and direct messages. No replies or other actions.

After the invitation is accepted you can fine-tune the access per brand. Click the pencil on the teammate's row and choose Add brand access or change the permissions of a brand:

  • Manage comments / Manage messages: reply to and manage comments or messages. A manage permission includes viewing.

  • View comments / View messages: read only.

  • Show analytics: open the analytics pages.

  • Manage automations: create and edit automations.

  • Manage learning: open the Learning page: training, custom instructions and brand settings.

  • Manage influencer partners: invite and manage influencer partners of the brand.

  • Manage team: invite people and change team access for the brand. A teammate with this permission can only give permissions they have themselves. They can't change the owner, their own access or someone with more access, and they can't add seats.

⚠️ Important: Only the account owner connects channels, adds or deletes brands and changes the plan. Teammates, even with all permissions, see the message "Social media accounts can only be connected by the team admin." when they try to connect a channel.

See what your team does

Every action on a comment or message is recorded with the person who did it. Open a comment or message and use Show Activities. Read more in What's the Activity Protocol?.

  • Insights → Comment analytics → Team Performance: one row per teammate with Moderated, Answered, Hidden, Liked, Deleted, Done, Avg Response and Last Active.

  • Insights → DM analytics → Team performance: messages sent, conversations, marked done, tags added and average response per teammate.

  • Automations, bulk actions and replies sent from the Meta app get their own rows, so you can tell them apart from your team.

  • On Business, handling time per teammate is measured too (focused time spent on an item).

Teammates need the permission Show analytics to open these pages. See What do the numbers in Analytics mean?.

Remove a teammate or cancel an invitation

Click the trash icon on the teammate's row. Confirm Remove access for a teammate or Delete invitation for a pending invitation. The seat becomes free again. To hand the whole account to a teammate, use Transfer ownership on their row. They have to accept it.
